SEPTEMBER 2008 MEETING – The September 2008 meeting will be Thursday, the 25th, 9:30-10:30 a.m., at CG4 2020. The meeting schedule is posted on the Web page through October 30th, 2008.
GSA WEB SITE USE –The property office has access to finding usable assets from other agencies that are free, with the only cost being shipping. There are some items from RCP depots (Recycling Control Point) that are completely free (no shipping). Chris will go through the GSAXcess Web site and show the DPAs what is available to us and how to go about “freezing” items they may want.
INVENTORY UPDATE – We have several divisions currently doing inventory, with only about six divisions left to begin their inventory. The next inventories will be Property, EOL/RAF, and COMET in August, with SaSS, Phys Plant, and Cosmic completing the cycle in September.
RESP PERSON UPDATE –The July 2008 Responsible Person Update is currently in full swing. Chris has yet to update this current cycle, with the inventories taking the front stage. After browsing a few of the sheets, it appears that locations and changes to Resp Person are the front runners this time.
TRAINING – We will do an abbreviated session of the Fixed Asset Database Training after this meeting. We are asking that the DPAs bring up any problems that they may be having navigating through Bi-Tech, and also any reports that they would like to see to help them track their property better.
OBJECT CODES – Object code changes…Chris has been working on changing object codes on non-asset items when he reviews the PR’s. Most items come in with a 5260 object code, and he has been correcting them to read 5280 for computer parts, 5281 for computer systems, 5284 for tech/scientific parts, etc. We run reports at the end of year and we need to have these in the correct object codes.
SENSITIVE PROPERTY – FYI we will be beginning full inventories of all Sensitive Property. Master Lists – Many of the divisions have been sending in their sensitive property lists, and Chris is converting them into a list that is comparable to the inventory Master List. This will help the divisions out when it comes to doing their sensitive property inventories. Chris will be scheduling the sensitive property inventories within the next few weeks. We will begin with a few divisions for now, then complete the cycle by next May. You can request a Master List from Chris and he will send one to you for any corrections you need to make before we get started.
FADB TRACKING NEEDS – How can we in the Property Department provide the info needed to assist the divisions in tracking. It seems each division has its own database or software to track assets and/or Sensitive Property. We would like to find a solution that can be uniform and usable by all divisions.
