JANUARY 2005 MEETING The January 2005 meeting will be Thursday, the 27th, 9:30-11:00 A.M., at FL3-2072. Chris will be sending MM proposals for the 2005 DPA Meetings and the schedule will be posted on the Property Web page. He will e-mail once the schedule is posted.

PROPERTY ADMINISTRATOR SEARCH UPDATE Interviews have begun and the job has also been reposted to expand the base of applicants. Some of you may recall that the original plan was to have someone on board November 1st. It appears now that it will be late November. Fortunately, since the search started early, that will still allow about six weeks for training and the transition before Janet leaves. Melissa will keep everyone posted on progress via e-mail. If you have any questions about this feel free to e-mail Melissa at melissa@ucar.edu.

PROPERTY ADMINISTRATOR TRANSITION – Once the new Property Administrator (PA) is on board, there should be time to give that person a good overview of the various UCAR property issues. Here are some of the steps that will occur during the transition. If you have ideas that should be added, please e-mail those to Janet (janetc@ucar.edu).

  • A brief meeting at each site (FL, ML, CG, and JEFFCO) to introduce the new PA to DPAs and other administrative personnel who may want to meet him/her.
  • Introductory meetings with the primary administrative groups with which the PA will work (i.e., Sponsored Agreements, Contracts, Logistics Ops).
  • A tour of the different types of property for which UCAR is accountable. (This will focus on large groups of property and unusual types of property that may have special tracking and reporting issues.) We will probably contact a few DPAs for access to special items but, in general, this will just be a “walk-thru.” We will be sure the DPA knows we’re coming but s/he can join us or not, depending on her/his other priorities.
  • Introductory conference calls with sponsor property administrators.
  • Bi-Tech GL and FADB training.

YEAR END UPDATE – Auditors will return mid-November and be on-site until just before Christmas for the final stage of the annual audit. As mentioned before, since this is our first year working with KPMG we do not know if any of their testing or selections in the final phase will require DPA participation. If your assistance is required, we’ll be in touch.

From the main page, you can access, among other things, the DPA Meeting Schedule, Inventory Schedule, and the UCAR Property Manual, which includes the definition of a fixed asset, DPA Responsibilities, and Disposal procedures. We are available to help as well but the Web site can give you a jump start on guidance you may need for managing your division’s property.
