JULY 2005 MEETING – The July 2005 meeting will be Thursday, the 28th, 9:30-11:00 A.M., at CG4 Room 2020. Chris has sent MM proposals for the 2005 DPA Meetings through August and the schedule is posted on the Property Web page.
DEE VACATION – Dee will be on vacation from July 7-20. Please continue to send disposition requests via e-mail. I will review and process them when I return.
PROPERTY DISPOSITION – There have been a couple of instances where employees have dismantled or salvaged equipment without obtaining authorization from the Property Office. As a reminder, it is the responsibility of the DPA to provide guidance and/or training within the division, as appropriate, for safeguarding all assets and sensitive property. Additionally, the individual designated as the Responsible Person should know the location of each asset assigned to them and ensure proper utilization, storage, and maintenance. It is imperative that the responsible person provides advance notice when a disposal is anticipated. This includes dismantles.
CIP COSTS – The purpose for setting up a separate key for CIP (Construction in Process) is to collect all costs associated with the CIP in one place. This allows for accurate valuation of the fixed asset upon completion. If it comes to your attention that costs for a CIP are being charged to an account key other than that which was originally assigned, please contact both your division administrator and the Property Office to resolve the problem.
RESPONSIBLE PERSON UPDATES – We have survived yet another Responsible Person Update. There are still some divisions that have outstanding forms, which need to be in Chris’s office no later than 10:00am, July 1. This was our eighth Responsible Person Update, and there is definitely a decline in corrections, but location still wins by a long shot. This means that location change requests are still not getting to the DPAs. Please instruct your staff that it is important to have correct location information in the records at all times.
CAPITALIZATION DECISION TREE – We have all had those times when we are trying to determine whether or not a purchase qualifies for capitalization. The Property Office and other members of Budget and Finance have prepared a new decision tree to assist in answering the questions that arise. The remainder of the meeting was spent reviewing the form and discussing its content.
