MARCH 2005 MEETING – The MARCH 2005 meeting will be Thursday, the 31st, 9:30-11:00 A.M., at the ML-Chapman Room. Chris will be sending MM proposals for the 2005 DPA Meetings and the schedule is posted on the Property Web page.
EQUIPMENT OFFERS TO OTHER DIVISIONS – In August 2003 it was decided that broken equipment would not be offered to other divisions prior to requesting that it be recycled/salvaged. In the January meeting, there was some discussion surrounding whether or not other divisions might want to hear about such equipment, which could be dismantled and used for parts. We re-visited the procedure for broken equipment and have decided to follow the status quo. If you accumulate a long list of equipment for offer, please delete the broken equipment before sending it to the DPAs. For the purpose of disposition, you can go ahead and request authorization to send it to salvage as soon as you know it's broken. The Property Office will get the authorization and you can send it off to recycle/salvage without waiting to offer it to other divisions.
DATA WAREHOUSE REPORTS – Meeting attendees discussed the following reports listed in the Data Warehouse. The consensus was that the DPA’s themselves were not using the DW reports, however, Division Administrators do use them. We decided to continue to support the reports.
Reports currently active on DWOW include:
Active Fixed Asset by DPA
Current DPA list
Current Responsible Person List
Fixed Asset Account Information
Fixed Asset Information by Contract
Depreciation Report
RESPONSIBLE PERSON UPDATES/INVENTORY – Chris went over the Responsible Person Updates from Sept 2001 through Dec 2004 using a PowerPoint presentation. He also used the last completed inventory cycle as an example. He highlighted the problem areas, mainly location changes, and emphasized the need for staff to notify DPA’s anytime they move assets. Assets moved for longer than two weeks from their original locations require the database to be updated.
HOME LOAN FORMS – Chris will be going around to divisions, performing employee home loan reviews from now through March. He has received several suggestions on how we can improve the Employee Home Loan Form. He went over the revised loan form and solicited feedback on the changes. Chris will be soliciting additional feedback prior to finalizing the format of the form.
