Student Assistant Guidelines



UCAR Student Assistant opportunities allow students to apply evolving education and skills to receive on-the-job training and experience in a variety of disciplines. Students Assistants normally live in the vicinity of their work location.  Their compensation and benefits reflect the special nature of this learning experience.

Student Assistants serve in a Casual appointment with variable hours. They may be hired to work up to 20 hours per week during the school session, and up to full-time during school breaks. Total hours may not exceed 1,000 hours worked during any 12-month period.

Provisions

  1. Eligibility

    A Student Assistant must be enrolled (or intend to enroll in the next regular session) for credit in an accredited secondary or postsecondary school, college, or university, or in a trade school that has received a Certificate of Approval from the Colorado State Board for Community Colleges and Occupational Education.

    A previous employee of UCAR having received TIAA-CREF benefits is ineligible for a Student Assistant position. The individual may be considered for a Regular or Term benefits-eligible position with UCAR.

  2. Hiring Process

    Student Assistants are hired though a normal competitive hiring process.

    New Student Assistants must attend the portion of New Employee Orientation covering UCAR's programs and policies and they must complete paperwork common to all new UCAR employees, exclusive of benefits information.

  3. Hours Worked

    Students Assistants are normally assigned a 1.0 FTE which allows occasional full-time work if needed. It is expected, however, that a Student Assistant will not normally work on a full-time basis. Students are typically offered the ability to adjust their work schedule to accommodate their academic schedule.

    Student Assistants may not work in excess of 1,000 hours in any 12-month period. It is important to plan work hours so that the 1,000 hour threshold is not in jeopardy. Human Resources will notify the laboratory or program Administrator if it appears a Student Assistant is approaching the 1,000 hour threshold. This allows the laboratory or program to schedule/plan accordingly or to notify the employee that their Student Assistant employment will be ending.

  4. Performance Appraisals

    Normally students are in the early stages of their career and may not have professional workplace experience. It is particularly important to provide ongoing feedback and direction to students to maximize their experience and their potential for contribution.

    Performance appraisals are required for Students Assistants if the laboratory or program wishes to provide a salary increase during UCAR's merit increase process.

  5. Compensation

    Student Assistants are considered hourly employees. Compensation at time of hire will be determined in consultation with Human Resources staff. An increase thereafter may occur during UCAR's merit increase process. Student pay will be part of the merit budget.

  6. Benefits

    Student Assistants are not eligible for most UCAR benefits. They may receive an RTD bus pass, AD&D (Accidental Death and Dismemberment) and Worker's Compensation coverage. They may attend UCAR's Staff Development classes when approved by their supervisor. Hours spent in a class must be compensated as time worked when the topic is related to the performance of the employee's position and/or when the training is required by UCAR or the supervisor.

  7. Termination of Employment

    Due to the nature of the appointment, the employment of a Student Assistant employee may be terminated at any time. As much notice as possible, and at least two weeks, should be provided to the student when it is determined that the position will not continue. Student Assistants are not eligible for severance pay.

    A Separation Notice form and UCAR Recovery of Property form are completed for the departing employee.

    Upon reaching 1,000 hours of work in a 12-month period, the Student Assistant schedule must be reduced or the position must be terminated. The employee may apply for other UCAR Regular or Term positions. The employee may not be transitioned into such a position without a competitive process.

Other Student Opportunities

An Unpaid Internship may be considered when the student receives course credit in exchange for the internship. It is expected that such arrangements continue for no more than one semester and that the learning arrangement be documented for the student and his/her academic institution. These students are not on payroll and therefore are not considered to be a UCAR employee.

A Summer Internship normally results from a national search, providing a summer opportunity for students to further develop technical skills. They are classified as Student Visitors.
