Meeting Maker Procedures and Usage
Requesting a Meeting Maker Account
To obtain a Meeting Maker account, contact your Division Systems
Administrator and request an account. Or, you can fill out the Meeting
Maker Account Request form and it will be routed to the appropriate
division. An individual MUST have a UCAR e-mail address in order to
obtain an account. Please allow 24 hours for the request to be completed.
Requesting a change to an existing Meeting Maker Account
Please send a message to calendar@ucar.edu indicating the current Meeting Maker account and full name of individual and the requested change. The request must come from the individual or their supervisor only.
Accessing the Web Client
To access the Meeting Maker web client, please visit www.fin.ucar.edu/calendar.
Installation Assistance, Questions, Etc.
Please contact your Divisional Systems Administrator for assistance with client installation as well as general questions regarding Corporate Wide Calendaring. Questions may also be directed to calendar@ucar.edu.
Calendaring "Etiquette" & Information
- Use it. If you have a Meeting Maker account, please use this calendaring application on a regular basis. If others see that you have an account, they are expecting your calendar and your availability to be current, that you will reply to meeting proposals, etc. If the systems administrator sees inactivity in your account for 90 days or more, you will be notified and possibly removed from the application.
- Check your schedule on a daily basis. If your schedule is very demanding, check this several times a day or be sure to use notifications to alert you of meetings or incoming proposals.
- Keep your schedule up to date. Since Meeting Maker allows one to check the availability of other users when scheduling a meeting, a schedule that is up-to-date helps eliminate scheduling conflicts.
- Reply to meeting requests. When reviewing new entries in the Messages window, check for conflicts before accepting a meeting. If you automatically accept every entry without review, you may accept conflicting entries and be unable to have the meeting rescheduled.
- Include non-working hours on your schedule. Non-working hours, such as vacation, personal business or meeting times, can and should be added to your calendar.
- Holiday entries. The systems administrator will populate the main calendar with official UCAR holidays.
