SEARCHING
FOR AUTHORITIES Two Search screens are
available to users depending on what type of search is conducted.
The first Search screen is the Requisition/Travel/Contractual Search
submenu and the second is the Acting Search submenu. Both Search
screens allow users to find authority information based on the cumulative
search criteria that you enter. The Search feature allows users
to search and review an array of authority information from all
authorities for an employee to a specific authority for a specific
account key, etc. The more search criteria identified by the user
will result in a more narrow set of search results. The less search
criteria identified by the user will result in a larger set of search

| Employee
ID or Name |
Defaults
blank. Free form text box to enter in the numeric employee ID
or the name of person for whom you want to conduct an authority
search. Name can be entered by first, last or partial name.
Field is not case-sensitive. |

Find an Employee
|
Once
the user completes the entry into the Employee ID/Name field,
upon click of this button, the application will conduct a search
of all employees and return a result set. If the Name/ID search
is unique, the application will populate the employee ID/Name
field with the unique name. If the search comes back with more
than one result, a drop down box will appear for the user to
choose the appropriate name. |
| Account
Key or Description |
Defaults
blank. Allows user to enter a six-digit account key or an account
key description. Account keys and descriptions can be entered
in whole or by partial key or description. For example, 31*,
31312, 313 or IT*, SOARS, Budget, ACD*. When conducting a search,
the application will present the user with a drop down box.
If more than one account key is returned, the user will be presented
with a drop down box in order to select the appropriate account
key or description. All authorities can be searched for by account
key or description EXCEPT for contractual authority. If a user
conducts a contractual authority search that includes an account
key, an error message will appear. |
| Date
of Authority |
Defaults
to the current date. Allows user to enter a date in which to
verify authorities. Date format is MM-DD-YYYY. Users are also
able to enter a date in the past to search for any historical
authorities as necessary. |
| Authority
Type |
User must select
an authority type by which to search. This is the only required
field on the search screen. Types of authorities include:
Requisition, Travel, Acting, and/or Contractual.

| Amount |
Defaults
blank. Allows user to enter in the amount of authority for which
they wish to search. All authorities can be searched for by
amount EXCEPT for Travel authorities. If a user conducts a Travel
authority search that includes an amount, an error message will
appear. |

Only Checkboxes |
Defaults
blank. Allows users to check which type of travel authority
for which they wish to search. |
| Authority
Status |
Defaults to Active.
Values available include:
- Active - shows
all current active authorities
- Expired - shows
all expired authorities
- Pending - shows
all authorities waiting to be activated
- Future - shows
all authorities activated with a future effective date range

Conducts
search based on entries in the Search screen, and then takes
user to Search Results page. |
| Clear
Search Criteria |
Clears
all fields on the Search screen. |
Upon completion of a
search, users will be provided a Search Results list which will
display the detail of the various authorities. Acting

Search
Results
Two Search Result screens
are available to users depending on what type of authority was searched.
If users conduct searches on Requisition, Travel or Contractual
authorities, the Requisition/Travel/Contractual Search Result screen
will appear. If users conduct searches on Acting authority, the
Acting Search Results screen will appear. All users will be brought
to the appropriate search results display after completing their
search criteria. The results display will include all detailed authority
information that matches the search criteria entered. Users are
able to navigate the search results if many records are returned
by clicking on the arrows at the top of each authority section. Requisition/Travel/Contractual

- Navigate to the Requisition/Travel
or the Acting Search screen submenu.
- Enter the search criteria.
- Click Search button.
To
clear the search criteria and enter new search criteria:
- Click on the Clear
Search Criteria button.
- Reenter search criteria.
- Click Search button.
To
navigate search results:
- To navigate to the
next set of authority records, click the forward arrow icon.
- To navigate to the
previous set of authority records, click the back arrow icon.
- To navigate to the
last set of authority records, click the forward double arrow
icon.
- To navigate to the
first set of authority records, click the back double arrow icon.
