DELL PROCEDURES

This mini guide should assist with expediting, tracking, and repair of your Dell orders

I. Get the final quote from Dell

1. Go to the Dell Federal Government Web site (http://www.dell.com/client/fed/) and customize your computer.
 
       
   

 

2. Save the configuration as a Cart. Dell will send you a confirmation e-mail containing your Saved Cart name and Password.
 
 
   

 

3. Forward this information to the current Dell representative(s).

4. The Dell representative(s) will e-mail you a formal Dell quote. Check this quote carefully because some of the specs may have changed due to incompatibilities.

5. If you have any changes to the quote, please forward these changes to the Dell representative(s). Any changes that you pencil onto the quote will require a requote.

6. Attach your final quote to the purchase requisition and submit it to the Contracts Office. Include a sole source justifications if the order amount is greater than $5,000.00

II. Obtaining order status from Dell

1. Go to dell Web site (www.dell.com) and click on Order Status.
 
 
   

 

2. In the multiple order status enter your PO number (e.g. P9912345) or your customer order number.
 
 
   

 

3. If you want e-mail notification when your order ships, click on the check box at the right of the line item.
 
 
   

 

4. Click on Submit and fill in the required e-mail information.
 
 
   

 

5. To obtain additional information about the order, click on the order number shown in step 3 above.


 


III. Repairs and Returns

Request for repair should be initiated with Dell by the requestor because the repair technician will ask you to perform a series of actions to determine the exact nature of the computer malfuction. Before you call Dell's repair department, you need to have the five digit alphanumeric Service Tag Number from the back of your system regardless if it is only for a printer or monitor that was purchased with the system. You should also have the purchase order number on hand.

Have your Express Service Code ready - 10 digits, all numeric

Once it has been established that the system or its components have to be returned, Dell will issue a Return Merchandise Authorization (RMA) number. They will also send a return kit in the mail which contains instructions and a mailing label.

At this point the Contracts Office should be notified via e-mail with the following information:
1. Purchase Order Number used to procure the original system
2. The Service Tag Number
3. The RMA number
4. A brief statement of the problem.

The Contracts Office will generate a packing slip.

You should contact the Contracts Office if you need to return a system or its components. The Contacts Office will obtain the required RMA. The Contracts Office will need the following information:
1. Purchase Order Number used to procure the original system
2. The Service Tag Number.
